Row height and column width

Hello students, welcome to Kwickprep. You type a long student name, and it spills into the next cell or gets cut off. Or a number turns into hash signs. The fix is simple: change the column width or row height. Today we will learn every way to do it.

First, how are sizes measured? Column width is counted in characters, roughly how many digits of the normal font fit in the cell. Row height is counted in points, the same unit used for font size. One point is one seventy second of an inch. When you drag a border, Excel also shows the size in pixels, the tiny dots on the screen.

Why should you care about sizes? Long text spills into the next cell, or gets cut off if that cell has data. A number that is too wide for its column shows as hash signs instead. Taller rows are needed for wrapped text, like a full address. And neat sizes make your printouts easy to read.

The quickest way is to drag. Point at the right edge of a column letter, and the pointer becomes a double arrow, then drag to change the column width. Point at the bottom edge of a row number, and drag to change the row height. If you select several columns or rows first, dragging any one edge makes all of them the same size.

Now, a new term. AutoFit makes a column exactly wide enough for its longest entry, or a row tall enough for its tallest one. To AutoFit a column, double-click the right edge of its column letter. To AutoFit a row, double-click the bottom edge of its row number. You can also use the Home tab, the Format button in the Cells group, and choose AutoFit Column Width.

Sometimes you need an exact size, so every sheet matches. First, select the columns. Go to the Home tab, and click Format in the Cells group. Choose Column Width. Type the value you want, such as 25 characters. Click OK, and all the selected columns become exactly that wide.

The Format button gives five sizing options. Row Height sets an exact height, for example 30 points. AutoFit Row Height makes rows fit their content, which suits wrapped text. Column Width sets an exact width, such as 25 characters. AutoFit Column Width, shortened on screen, fits the longest entry, like a long name. Default Width changes the standard width for all columns on the sheet that you have not resized yourself.

There is also a right-click shortcut. Right-click a column letter and choose Column Width from the menu. Right-click a row number and choose Row Height. Type the value and click OK, just like the Format menu.

You can also hide a row or a column without deleting it. Hiding simply makes its width or height zero, so the data stays safe. Right-click the column letter or row number and choose Hide. You can spot hidden columns because the letters skip, for example C is followed directly by E. To show it again, select the columns on both sides, right-click, and choose Unhide.

Now pause and predict. Column B holds fee amounts like 125000.50. The cells are formatted as Currency. After you type, the cell shows only hash signs. Is the value lost? No, it is still there, so double-click the right edge of column B to AutoFit it, and the amount appears.

Here are a few limits and tips. A column can be at most 255 characters wide. A row can be at most 409 points tall. For long addresses, turn on Wrap Text and then AutoFit the row height, instead of making the column very wide. And keep the same widths across similar sheets, so all your monthly registers look alike.

Let us revise what we learned today. Column width is counted in characters, and row height in points. Drag the edge of a header to resize by hand. Double-click that edge to AutoFit the content.
