Hello students, welcome to Kwickprep. A long page of plain text is hard to read. How do offices make documents clear at a glance? Today we will learn bullets, numbering, tables and ways to organise a document in Word and Writer.

First, bullets. A bullet is a small symbol, like a dot, placed before each item of a list. Use bullets when the order of the items does not matter, like a list of documents to bring for admission. In Word, click the Bullets button in the Paragraph group on the Home tab. In Writer, use the toolbar button or Format, then Bullets and Numbering.

Next, numbered lists. Numbers are used when order matters, like the steps to fill an online form. You can choose styles such as numbers, letters, or small Roman numerals. If you add, delete or move an item, the numbers update automatically. To end the list, press Enter twice, or click the button again.

A multilevel list has main points and sub points. Press Tab at the start of an item to move it one level down. Press Shift+Tab to move it back up. Each level can use a different style, like numbers for main points and letters for sub points. This is useful for a syllabus or the outline of a report.

Pause and predict. You are typing a numbered list and reach item three. You press Tab at the start of the line. What happens? The item moves one level down and becomes a sub point, often shown with a letter, under item two.

Now, tables. A table arranges data in rows and columns, like a mark sheet. A row runs across from left to right, and each row can hold one student. A column runs down from top to bottom, and each column holds one kind of data, like marks. A cell is the box where a row and a column meet. The header row is the top row, which holds the titles of the columns.

Here is how to insert a table. In Word, click the Insert tab, then Table, and drag across the grid. You can also choose Insert Table and type the number of rows and columns. In Writer, choose Table, then Insert Table, or press Ctrl+F12. When typing, press Tab to move to the next cell, and pressing Tab in the last cell adds a new row.

Tables can be changed easily after inserting them. Right-click inside the table to insert or delete rows and columns. Merge joins several cells into one, like a title across the top, and split does the opposite. Borders and shading give the table a clean look. For a long table, set the header row to repeat at the top of every page.

Organising a long document starts with headings. A style is a saved set of formatting, and Word and Writer have ready styles called Heading 1 and Heading 2. Use Heading 1 for chapters and Heading 2 for sections inside them. The headings then appear in a side panel, where you click a heading to jump to it. In Word this is the Navigation Pane, opened with Ctrl+F, and in Writer it is the Navigator, opened with F5.

Three more tools keep a document organised. A table of contents is a list of headings with page numbers, built automatically from your heading styles. In Word, find it on the References tab, and in Writer under Insert, then Table of Contents and Index. A page break, with Ctrl+Enter, starts a new page, instead of pressing Enter many times. A section break lets one part have a different layout, like a landscape page. After editing, always update the table of contents so page numbers stay correct.

Let us revise what we learned today. Use bullets when the order does not matter. Use numbering when the order matters, and Tab makes sub points. A table has rows, columns, cells and a header row. Heading styles organise a document and help you navigate it. And a table of contents, page breaks and section breaks keep long documents tidy.
