Hello students, welcome to Kwickprep. A school must send a fee reminder to five hundred parents, each with a different name and amount. Must someone type five hundred letters? No. Today we will learn the concept and uses of mail merge.
Let us start with the idea. Mail merge is a feature that joins one standard letter with a list of data. It creates a separate, personal copy for each person in the list. This saves a lot of time and avoids typing mistakes. In Word, the tools are on the Mailings tab, and in Writer, choose Tools, then Mail Merge Wizard.
Every mail merge has three parts. The main document holds the text that is the same for everyone, like the body of the fee reminder. The data source is the list of details that change, such as an Excel sheet or a table of parents. Merge fields are placeholders in the main document, like Name and Amount, where each person's own data will go.
Here is a small data source. Each column is a field, and the first row gives the field names, name, class and amount. The first record is Riya Shah of class nine, who owes four thousand five hundred rupees. The second record is Aman Verma of class ten, who owes three thousand two hundred. The third record is Neha Patel of class eleven, who owes five thousand. Each row is called a record, and one letter is made for each record.
Two words are important for exams. A field is one kind of information, stored in one column, like Name. A record is all the information about one person, stored in one row. During the merge, one record produces one letter. So three records give three letters.
Here are the steps of mail merge as a flowchart. First, create the main document with the common text. Second, select the data source, such as an Excel sheet or a new list. Third, insert merge fields where the changing data should go. Fourth, preview the results to check each letter. Finally, finish and merge to produce the letters.
Mail merge can create different kinds of main documents. Letters make one full letter for each person, like fee reminders. Envelopes print a name and address directly on each envelope. Labels print many addresses on one sheet of stickers. Email messages send a personal email to each person, and in Word this needs an email program like Outlook to be set up.
When you finish the merge, Word asks where the output should go. Edit Individual Documents puts all the letters into a new file, which you can check and save. Print Documents sends them straight to the printer. Send Email Messages sends one email for each record. Whatever you choose, preview first, because one wrong field is copied into every letter.
Pause and predict. The main letter is one page long. The data source has forty records. You merge to a new document. How many pages will it have? Forty pages, because each record makes one copy of the one page letter.
Mail merge is used in many places. Schools send fee reminders and result letters to parents. Exam centres and events print admit cards, certificates and ID cards. Banks and shops send personal notices and offers to their customers. And families and offices print invitations and address labels for a wedding or a function.
Let us revise what we learned today. Mail merge joins one letter with a list of data. Its three parts are the main document, the data source and the merge fields. A field is a column, and a record is a row. One record gives one merged copy. And mail merge can make letters, envelopes, labels and emails.
