Hello students, welcome to Kwickprep. A table of numbers is hard to read at a glance. A chart turns the same numbers into a picture. But which chart should you pick? Today we will learn the main types of charts and when to use each one.
Let us start with the meaning. A chart is a picture made from numbers in a worksheet. It is also called a graph. It helps us see comparisons and trends much faster than a table. And a chart is linked to its data, so if you change a number, the chart changes too.
We will use this data from a small stationery shop. In January, sales were twelve thousand rupees. In February, sales rose to fifteen thousand rupees. March was a weak month, with nine thousand rupees. April was the best month, with eighteen thousand rupees.
Every chart has some common parts. The chart title says what the chart is about. The axes are two lines, the horizontal X axis and the vertical Y axis. A data series is one set of related values, like all the sales figures. The legend is the small key that tells which colour stands for which series.
The first type is the column chart. It shows each value as a vertical bar. It is best for comparing values across categories. For our shop, four bars would show that April sold the most. It is the most commonly used chart, and often the default one.
The second type is the bar chart. It is like a column chart turned on its side, with horizontal bars. It works well when the category names are long. For example, students with their full names fit neatly on the left. It still compares values, just like a column chart.
The third type is the line chart. It marks each value as a point and joins the points with a line. It is best for showing a trend, which means how something changes over time. For example, the temperature of a city across seven days. You can clearly see where it rises and where it falls.
The fourth type is the pie chart. It is a circle cut into slices, like a pizza. Each slice shows a share, or part, of the whole. A pie chart can show only one data series. For example, how a family divides its monthly budget among rent, food, travel and savings.
Two more types are also in your syllabus. An area chart is a line chart with the space below the line filled with colour. It shows how an amount grows or falls over time. A scatter chart, also called an X Y chart, plots dots for pairs of numbers. It shows whether two things are linked, like hours of study and marks.
Here is a simple rule to choose. To compare items, choose a column or bar chart. To show a trend over time, choose a line or area chart. To show parts of a whole, choose a pie chart. To see a link between two values, choose a scatter chart.
Now let us see how to make a chart. First, select the data, including the headings. Next, go to the Insert tab and find the Charts group. Pick the chart type you need, and the chart appears on the sheet. Then add a chart title and check the legend. In Excel, pressing F11 also makes a quick chart on a new sheet.
Pause and predict. A school wants to show what share of students is in each house. Red has thirty percent, Blue and Green have twenty five percent each, and Yellow has twenty percent. Which chart fits best? The shares add up to one whole, so a pie chart fits best.
Watch out for four common mistakes. Do not use a pie chart for values that change over time; use a line chart. Do not put too many slices in one pie, because small slices become hard to read. Always give a chart title and label the axes. And select the headings with the data, so the legend shows proper names.
