Formatting toolbar

Hello students, welcome to Kwickprep. A plain spreadsheet full of numbers is hard to read. What if one row of buttons could make it bold, coloured and neat in seconds? That row is the formatting toolbar. Today we will learn every important button on it, and where to find it in Excel and in LibreOffice Calc.

First, what is it? The formatting toolbar is a row of buttons that change how your data looks. Formatting changes only the appearance, never the actual value stored in the cell. In LibreOffice Calc, it is called the Formatting toolbar and sits just below the menu bar. Older Excel had a separate toolbar, and modern Excel keeps the same buttons on the Home tab of the ribbon.

Sometimes the toolbar is missing. In Calc, open the View menu, choose Toolbars, and tick Formatting. In Excel, simply click the Home tab. If the ribbon has shrunk to only tab names, double click any tab name to show it again. Always remember the golden rule: select the cells first, then click the formatting button.

The first group of buttons controls the font, which means the style of the letters. The font name box picks a style, such as Calibri or Arial. The font size box sets the size in points, and eleven is the usual size in Excel. The B button makes text bold, and the shortcut is Ctrl+B. The italic button makes it slanting, with Ctrl+I. The U button underlines text, with Ctrl+U.

The next group decides where data sits inside a cell. Align Left pushes it to the left edge, which suits names. Center puts it in the middle, which suits column headings. Align Right pushes it to the right, which suits amounts, so the digits line up. Merge and Center joins selected cells into one big cell and centres the text, which suits a title across the top. Wrap Text shows long text on several lines inside one cell.

The number buttons change how a number is shown. The currency button adds a currency symbol. On an Indian computer it shows rupees one thousand five hundred point zero zero. The percent button multiplies by one hundred for display, so fifteen hundred shows as one hundred fifty thousand percent. So type point one five, not fifteen, when you want fifteen percent. The comma button adds commas and two decimal places. Increase Decimal shows one more digit after the point. Decrease Decimal shows one less.

The last group adds colour and lines. The Borders button draws lines around cells, because the grey gridlines do not print by default. The Fill Color button, shaped like a paint bucket, colours the background of the cell. The Font Color button, a letter A with a coloured bar, changes the colour of letters. For example, use red for a failed subject.

Let us format a school canteen bill in four steps. Select A1 to C1, click Merge and Center, then Bold, and choose size fourteen for the title. Select the headings in row two, click Bold and Center, and give them a yellow fill. Select the price column and click the Currency button, so every price shows the rupee sign. Finally select the whole table and choose All Borders, so it prints with lines.

Pause and predict. Cell B2 holds zero point four five six. You click Decrease Decimal two times. What does the cell show now? It shows zero point five, because the display is rounded to one decimal place. And what value does a formula use? It still uses zero point four five six. Formatting changes the look, never the stored value.

One more useful button is the Format Painter, shaped like a paintbrush. It copies only the formatting of a cell, not the data inside it. Click the cell that already looks right, then click the paintbrush. Now drag over the cells that should look the same, and they copy the style. If you double click the paintbrush, it stays on, so you can paint many places, and you press Escape to stop.

Let us revise. The formatting toolbar is a toolbar in Calc, and the Home tab in modern Excel. Font buttons set the name, size, bold, italic and underline. Alignment buttons place data left, centre or right, merge cells, and wrap text. Number buttons add currency, percent, commas and decimal places. And remember, formatting changes how data looks, never the value stored in the cell.
