Spreadsheets: concept of a worksheet and a workbook, create and save a worksheet.

Hello students, welcome to Kwickprep. Your class teacher adds the marks of forty students in five subjects. Can a computer do this in seconds? Yes, with a spreadsheet. Today we will learn worksheets, workbooks, and how to create and save a worksheet.

A spreadsheet is software that stores data in a grid of rows and columns. It can calculate totals and averages very quickly. It is used in many places. We use it for marksheets, shop bills, family budgets and attendance records.

There are many spreadsheet programs, and they work in a similar way. LibreOffice Calc is made by The Document Foundation, and it is free. Microsoft Excel is made by Microsoft, and it is paid. Google Sheets is made by Google, and it is free and online.

Let us learn three key terms. A row goes across the sheet, and rows are named by numbers like one, two and three. A column goes down, and columns are named by letters like A, B and C. A cell is the box where a row and column meet. Its name, called the cell address, is the column letter followed by the row number, like B three.

When you click a cell, it becomes the active cell. The active cell has a dark border around it, and typing goes into it. The Name Box, at the top left, shows its address. The formula bar, next to it, shows what is inside that cell.

Now, the worksheet. A worksheet is one single sheet made of rows and columns, like one page of a register. Its name appears on a tab at the bottom of the window. A new sheet is usually named Sheet one. You can right click the tab and rename it, for example, Class nine A.

A workbook is the whole spreadsheet file that you save. It is saved as one file. One workbook can hold many worksheets. You add a new sheet by clicking the plus button near the sheet tabs. For example, a school keeps one workbook for class nine, with a separate worksheet for each section.

Here is the difference in one table. A worksheet is one sheet, while a workbook is the whole file. A worksheet contains rows and columns, while a workbook contains worksheets. A worksheet is like one page, and a workbook is like the complete register.

Let us create a simple worksheet. Open the software, and a new workbook opens with a blank sheet, or press Control plus N. In row one, type the headings Name, Maths and Science. In rows two and three, type the marks of Riya and Aman. In cell B four, type equals B two plus B three and press Enter. The cell shows one hundred forty two, and C four shows one hundred fifty five.

Keep three rules in mind while typing. Press Enter to move down to the next cell, or Tab to move to the right. Text lines up on the left of a cell, and numbers line up on the right. Every formula must start with the equals sign, otherwise the software treats it as plain text.

Now save your work. Click File and choose Save, or press Control plus S. The first time, choose a folder, such as Documents. Type a clear file name, like marks. Click Save, and the file name appears in the title bar. Remember, you save the whole workbook, with all its worksheets.

The extension is the part after the dot in the file name. LibreOffice Calc saves as dot oh dee ess by default. Microsoft Excel saves as dot ex el ess ex. A see ess vee file stores plain values separated by commas, and it keeps only one sheet, without formatting.

Pause and predict. In our marks sheet, Aman's Maths marks change from sixty four to seventy four. What will cell B four show now? It shows one hundred fifty two, because the formula recalculates on its own.

Let us revise what we learned today. A spreadsheet keeps data in rows, named by numbers, and columns, named by letters. A cell address is the column letter plus the row number, like B three. A worksheet is one sheet, and a workbook is the whole file. Every formula starts with equals. Save with Control plus S; Calc uses dot oh dee ess, and Excel uses dot ex el ess ex.
