Hello students, welcome to Kwickprep. Imagine adding the marks of sixty students by hand, then a mark changes. You add everything again. A spreadsheet does it for you in a second. Today we meet LibreOffice Calc, with its worksheets, cells, rows and columns.
First, a new term. A spreadsheet is a program that stores data in a grid of rows and columns. It can do calculations automatically, like totals and averages. If you change one value, every answer that depends on it updates at once. It can also turn the data into charts.
Let us meet Calc. Calc is the spreadsheet program of LibreOffice. LibreOffice is a free office suite, and its code is open source, which means anyone can study and share it. Calc saves files in the Open Document Spreadsheet format, and the extension is ods. Calc can also open and save Microsoft Excel files, with the extension xlsx.
Calc is used in many everyday places. Schools use it for mark sheets and result analysis. A kirana shop can keep bills and stock records. A family can plan its monthly budget and expenses. Teachers can also maintain attendance registers.
There are a few ways to start Calc. On Windows, open the Start menu and choose LibreOffice Calc. On Ubuntu Linux, open Show Applications and click LibreOffice Calc. You can also open the LibreOffice Start Center and click Calc Spreadsheet. A new blank file opens, named Untitled one, until you save it.
Let us look at the Calc window from top to bottom. The title bar shows the file name. The menu bar has menus like File, Edit, Insert and Format. Toolbars give quick buttons, like bold and save. The formula bar shows what is inside the selected cell. Sheet tabs at the bottom left let you switch between sheets. The status bar at the very bottom shows things like the sum and zoom.
Now two important words. A whole Calc file is called a spreadsheet, or a workbook. A worksheet is one page of rows and columns inside that file. A new file starts with one sheet, named Sheet one. You can add more sheets, and click a sheet tab to move between them.
You can manage sheets easily. To insert a sheet, click the plus button near the tabs, or use the Sheet menu. To rename a sheet, right-click its tab and choose Rename Sheet. To delete one, right-click the tab and choose Delete Sheet. For example, a class teacher can keep one sheet for each term, all in one file.
A worksheet is made of rows and columns. Columns run from top to bottom and are named by letters. After Z come AA, AB, and so on. Rows run from left to right and are numbered, up to over ten lakh rows. Calc seven point three and older have one thousand twenty four columns, ending at AMJ. From version seven point four, Calc has sixteen thousand three hundred eighty four columns, ending at XFD.
Where a row and a column meet, we get a cell. A cell is the box where you type data. Every cell has an address, also called a cell reference. Write the column letter first, then the row number. So B three means column B, row three. The cell you are working in is the active cell, and it has a dark border.
Two small boxes help a lot. The Name Box, at the left of the formula bar, shows the address of the active cell. Type an address there, like Z one hundred, and press Enter to jump straight to it. The formula bar shows the real content of the cell. If a cell has a formula, the cell shows the answer, but the formula bar shows the formula.
Pause and predict. You click the cell in column D and row seven. What does the Name Box show? Is it seven D or D seven? It is D seven, because the column letter always comes first.
A group of cells next to each other is called a range. We write the first cell, a colon, and the last cell. A one colon A five means five cells down column A. A one colon C one means three cells across row one. A one colon B three is a block of two columns and three rows, so six cells.
You can move around the sheet with the keyboard. Arrow keys move one cell in that direction. Enter moves to the cell below. Tab moves to the cell on the right. Ctrl+Home jumps straight back to cell A one.
Always save your work. Choose File, then Save As, or press Ctrl+S. Type a file name, like Class ten Marks. By default, Calc saves in the ods format. If your friend uses Excel, choose the Excel file type, and Calc saves an xlsx file.
Let us revise what we learned today. Calc is the free spreadsheet of LibreOffice, and its files end in ods. One file holds worksheets, and sheet tabs switch between them. Columns are named by letters, and rows by numbers. A cell address is the column letter, then the row number, like B three. A range like A one colon B three is a block of cells. Open Calc today and find cell Z one hundred.
